FAQ
How do I order?
- Sign up for the yahoo group email list to stay informed. The easiest way is to e-mail urbangreens@yahoogroups.com to join the yahoo group and follow the instructions it e-mails back to you. This will keep you updated on what’s going on with the buying club, when to turn in your order, when the order will arrive, and any exciting developments or news related to opening up a grocery co-op, meetings or field trips and more.
- Order! See below for instructions on how to order on-line or on paper.
- Orders will be due every other Thursday by midnight. Check the front page of the web site for more info
- New Members! By the day the order (Thursday) is due drop off a check with the cashiers at White Electric Coffee (711 Westminster) or in an envelope in the mail slot at the WBNA (1560 Westminster). The check should be for the amount on your web invoice (if you are ordering by hand, you must calculate your own invoice. Remember repack fees!) plus your yearly Urban Greens membership dues ($20 per household or $10 per individual--please be honest). If you haven’t dropped off your check by that time, please contact us at urbangreens@gmail.com or we may not place your order. We do this to protect ourselves from excessive financial risk.
- If you are not a new member, you will now be paying when you pick up your food. Bring your checkbook when you come to the WBNA. DO NOT BRING CASH, as we will not accept it.
- Volunteer! We ask that all members volunteer at least one hour per month--the buying club has been volunteer run for over 5 years. Non-volunteering members pay a 7% surcharge on their total. Check the volunteering page of the web site to check for available jobs, or email ugvolunteers@gmail.com, the contact for our volunteer coordinator. If you can spare an hour or more during the day on Wednesdays, that is when we sort orders and it is the easiest way to get started.
- Come pick up your order at the WBNA on the Wednesday after the order is due between 5:00 and 8:00 PM. If you cannot make that pickup time, email or call us to make an alternate arrangement
- If this is unclear, you need help, or you have a suggestion on how to improve these instructions, e-mail urbangreens@gmail.com or call (401) 222-0860.
Ordering Online
- Go to www.urbangreens.com.
- If you are a new user, click the "New User Sign-up" and enter a user name and a password on the next page. The user name and password must only contain letters and numbers, no symbols. Fill in the other info on the page as instructed. Please fill in every field.
- After entering your user name and password, you will see several options on where to begin your order--the Local Catalogue, where we list locally-produced items, the AB (Associated Buyers, our wholesaler) or Non-Local Catalogue, and the Split Items list, where bulk items that other members would like to split are listed.
- You are can now start ordering. Go to the local catalogue or the Associated Buyers catalogue.
- At the Associated Buyers catalogue, begin searching for the items you need. Enter a description, keyword, Item number, or brand. Select which section of the catalogue you would like to order from, and if you want to limit the search to items on sale, check the “on sale” button.
-
- You may also search by category. Click on the “search by category link” at the top of the page to see which categories you can search in. These categories are identical to the category index in the table of contents in the catalogue. They include things such as Beverages, Non-dairy or Condiments, Olives….
- If nothing comes up after searching for your item, try changing the section of the catalogue you are searching in or selecting the all sections tab.
- Probably you will want to shop by searching by description or by category, as these are the most specific.
- Type the amount of the item that you want (for example, if I want one 9 pound tub of peanut butter, I will enter a “1” in the packs ordered column) and press the “order” button. We use the word “packs” lightly- it may mean jars, bags, boxes, etc. It is one full unit of stuff. NOTE: PLEASE BE CAREFUL TO NOTE UNITS AND SIZES BEFORE ORDERING. If you order 5 full packs of an item marked “25#,” you are ordering 125 pounds, not 5 pounds. To order smaller quantities or an item like that, either through splits or repacks, see below.
- Items with one or two stars (* or **) can be repacked by the wholesaler into smaller quantities. (See details below) If you want to order 5 pounds of an item that is marked as 25#* in the pack size column, click “start split” and enter a 5 in field for number of pounds desired, and click “request split.” If you want the full 25 pounds, enter a 1 in the packs ordered column instead. DO NOT enter 5 in the “Full” order column, or you will have to buy 125 pounds.
- By pressing the order button, you are adding that item to your invoice, and it will be sent in with the group order. If you want to take the item off, just change the number you entered in the full packs ordered or split units ordered column back to 0 and press the order button again. You can make any changes by viewing your current order--click “Your Order” at any time to see the full list.
- You need to press order for each item you want in the AB catalogue
- Local Ordering is much simpler than ordering through the Associated Buyers (Non-Local) catalogue. All of the locally-grown and -produced items we source are located on one page (click “Local Catalogue”). The items are organized by vendor, and usually include seasonal vegetables, fruit, bread, milk, eggs, coffee, honey, meat, herbal remedies and more. Offerings change regularly according to season and availability, so check back often. Simply go down the list, enter the quantities of each item that you would like (paying attention to the units, which vary), and click “place total order” once. PLEASE REVIEW YOUR ORDER BEFORE YOU FINISH. Check for any quantities that you may have incorrectly ordered, and verify that the prices look reasonable. (Hint: if your oats cost $80, you may have made a mistake.) You can always view your invoice by clicking the link at the top of the page. When you reach the invoice, you can change your order at that point. Orders can be changed up until midnight on Thursday, when the order ends and the next order begins. (This date will be printed on the invoice page).
What is a split and how do I do it?
- If you want an item that comes in multiple units, like many cans or many pounds, but don't want to order the minimum order, check split.
- The single order box will then split into two boxes. The first box represents how much of that item you have ordered. The second box represents the total coop order. Hopefully, people will see the split item and order the remainder necessary.
- On your invoice, the item will show up as a requested split, but you will not be charged and the coop will not actually purchase the item unless the minimum order is filled.
-
- Participate in splitting by searching for items that are being split. Check the "Split requested?" box in the list of search options and press search.
What do all those symbols mean?
- 9# means 9 pounds, ORG means organic, S means sweetened
- One asterisks by a large amount in pounds (25#*) means that you can have Associated Buyers (our distributor) break the package down into 5 pound increments, with a repack fee of 15 cents a pound. For example- the repack fee for 5 pounds of peanut butter would be $.75.
- Two asterisks (25#**) means that the amount can be broken down into 10 pound increments at a fee of 12.5 cents per pound. See above for instructions on how to order repacked amounts, just enter a multiple of 10 rather than a multiple of 5.
Ordering on paper
- There are order forms and catalogues at White Electric coffee shop. Go there and pick up an order form and fill it out.
- Write all of the information in the columns, making sure to check if the item is on sale or if there is a re-pack fee. Look through the on-line ordering instructions for an explanation of something confusing. New Members! Add up your total, add $20 to join Urban Greens, and leave a check for the total with your order at White Electric by the day the order is due. Old members! Bring a check to the WBNA when you pick up your food.
